Due to the fact that we always want our customers to be satisfied, we want our respectful customer to go through the company’s terms and conditions, cancellation policy, and the certain limitations of liabilities set by the company and make sure you agree with them. So, it will be easier for you to book whichever trip you desire.
1.Booking contract
For booking, you have to provide a 20% deposit of the total cost in order to book your trip. Please make sure that you have given us your full information exactly as in your passport. After you booked your trip, check if you have given the wrong information by mistake or not. If so report that false information to the company immediately.
If you book for others then please keep in mind that you will be responsible for all bookings process which includes payments and so on. You will also be responsible if the cancellation of the trip happens.
2.Booking a trip
a.The contact between the company and the client emerge only when the company sends a confirmation letter to the customer.
b.The company has the right to increase or decrease price under reasonable circumstances before booking is confirmed.
c.The company is not responsible for refund in case you involve in unlawful acts that are against the government policy.
d.The company is responsible for your personal belongings. But While you are on a trip, if your belongings loss, damage, or theft by your personal mistake, the company will not be responsible for that.
3.Booking deposit, final payment requirement
Deposit payment
To book a trip, as we said you have to deposit 20% of the total cost before 30 days of the trip. Once the booking amount deposit successfully then you will get trips booking confirmation letter by our official mail.
Final payment
For final payment, if your tips already booked then the final payment should be pay before start your trips. (you can pay in Kathmandu after your arrival)
Note: In case of trips outside Nepal (Bhutan & Tibet), we require you to pay the total amount before 20 days of your departure date. Failure in doing so will result in the cancellation of the trip.

Prices Change
The entire price which is included on the page is the current price and that price is for per person. There will not be any changes after you pay. To check the price validity, inclusion and exclusion kindly go through the trip notes.
5.Cancellation by clients
When a customer cancels the trip we request our customer to inform formally to the company. They must write a letter about their cancellation and should include acceptable reasons for why they are canceling a trip. They should provide some valid proof for canceling a trip. If the customer wants to cancel a trip after the trip has begun, no refunds will be made for any services or facilities which are not utilized.
NOTE: Open Trail Treks will not be liable for the trip cancellation due to any kind of natural disasters, such as landslides, floods, over raining, earthquakes, and others. We are not liable to return the trip costs in such a situation rather we can offer an alternative trip for you.
6.Medical condition and special requirements
Clients should mention about their physical and mental health to the company before booking a trip. Some trips will not be suitable for some clients so it is necessary to give about the client’s health to the company. If clients request to go on a trip but they are weak than they have to give in written form so that company will not be responsible if something happens to the client. Medical treatments are varying from one country to another that’s why we can’t give any warranties in relation to the standard of such treatments.
7.Travel insurance
All travelers must have valid travel insurance. Their travel insurance should cover illness death, any medical expenses, accidents, injuries, etc. It will be more helpful if your insurance also covers any personal effects, trip cancellation, loss of luggage, etc. Travelers must carry proof of insurance with them. If they will not be able to show their proof of insurance company has the right to cancel or suspend your participation on a trip or in certain activities that comprise part of a trip, at any time.
8.Flight delays and change in itinerary
Mountain weather is very different than normal weather. Mountain weather can change anytime so that flights can be delayed for some time or some days. If those things happen the company will arrange accommodation and food for the clients but they have to be ready for an additional charge. If the client wants to book a helicopter to avoid flight delay that will be ok for the company but again clients must be ready for any kind of additional charges. The company will not be responsible if clients miss their international flights.
9.Visa and passport
Nepal is among the very friendly nation for tourists. Which is the reason why getting Nepalese incredibly easy. You can obtain a visa upon your arrival at Kathmandu airport or from other entry points on the land border of Nepal. You also have the option of obtaining a visa from the Nepalese embassy or diplomatic missions of your home country. All you need for the visa is a passport with at least 6 months of validity with one entire page left, a photo, and a fee ( US$ is recommended but other major currency can work just fine.)
Tourist visas are available for 15 days, 30 days, and 90 days with a single entry visa fee cost US$25, US$40, and US$100 respectively. Fees should be paid in cash, no cards are usable. As tourists, you can stay in Nepal for as long as 150 days in a year. Children age below 10 also required visas although they are not charging the visa fee.
Indian national doesn’t require a visa to enter the country although if they travel by air they must have a Passport. SAARC nation and Chinese can get a free visa if they are only entering the country once in a year for 30 days. But if they wish to extend their stay they must pay visas to extend fees or if they want to enter in Nepal for the second time in a calendar year they must pay visa fees. 10.Injuries and evacuation
Our company will not be responsible for any injuries which include mental health and physical health so it will be better if you have adequate travel insurance packages which include medical facilities and helicopters for evacuation.
11.Last-minute booking
You can book a trip through Last minute booking 3 days prior to the departure date. However, extra charges will be included.
12.Postpone a trip
In case you postpone your trip, please provide us a written notice 30 days prior to your departure date. Failure to do so will result in termination of the trip. A minimum postpones charge will be applied.
13.Complaints
Open Trail Treks considers any complaints regarding company services and any drawbacks on the include lists. It should be given within 15 days of the ending deadline of the trips.
14.Updating terms and condition
The company can change these terms and conditions at any time. So we requested our respected clients to keep updated with any changes so that they won’t have a problem while booking the trip.
